Our people are at the heart of everything we do, and right now we’re looking for a proactive, structured, and people focused People & Culture Generalist to join our team and help us scale.

This is a pivotal role within our People & Culture team, reporting directly to the Head of People & Culture. You’ll be at the centre of everything that makes Visualfabriq a great place to work from HR operations and recruitment to culture initiatives ensuring a smooth, engaging, and positive employee experience. You will be partnering with our Head of People & Culture, who is based in the Netherlands, and our HR Business Partner supporting our India entity. Together, you’ll be part of a growing P&C team as we continue to scale.

Location: Maarssen, NL.
Hybrid working.
Hours: 32- 40 hours per week.
Start Date: April 2026.

What You’ll Do:

HR/People Operations (50%)

  • Own and execute the day-to-day‑ HR operations, HR inbox, full employee lifecycle (offers, contracts, onboarding, amendments, and offboarding) and ensure accurate data is uploaded in HiBob.

  • Own end-to-end employee benefits administration (NS Business card -Netherlands only, pensions, insurances), serving as primary contact for employees and external vendors.

  • Proactively identify opportunities to improve and streamline the HR Operations.

  • Coordinate onboarding logistics for office and remote employees (contracts, IT equipment and IT system access, employee first-day, stakeholder collaboration).

  • Acting as an approachable and trusted first point of contact for employees regarding HR related queries.

  • Support monthly payroll processes in collaboration with the Finance team and external providers across NL, Spain, UK, USA and India.

  • Maintain HRIS (HiBob), ensure compliance with policies and employee handbooks are updated across NL, Spain, UK, USA and India.

 

HR Projects (25%)

Partner with the Head of People & Culture on a variety of key People & Culture Projects, such as:

  • Optimise HiBob, documenting and (re)designing HR workflows and processes.

  • Preparing and facilitating manager and employee trainings with HiBob.

  • Job Levelling project (Ravio) and updating job profiles.

  • Workforce planning, Compensation & Benefits, and Learning & Development initiatives.

Recruitment (20%)

  • Support the end-to-end hiring process: Partner with hiring managers, post roles, screen candidates, schedule interviews, and ensure an excellent candidate experience.

  • Work with the Head of People & Culture to improve recruitment processes and employer branding.

Culture & Support with Office Management tasks (5%):

  • Contribute to internal communication via HiBob.

  • Organise company events, gatherings, and initiatives promoting wellbeing.

  • Promote and support employee well-being by fostering a healthy office environment, organising wellness initiatives, and ensuring that facilities support a comfortable, productive workspace.

  • Manage supplies inventory, including procurement and timely reordering to ensure resource availability and minimise disruptions. This includes ordering weekly groceries to provide free snacks and drinks for employees, as well as purchasing any required stationery.

  • Compliance with health and safety regulations within the workspace, including regular inspections and adherence to protocols.

 

The ideal candidate for this role brings:  

  • Strong understanding of HR operations and Dutch employment law.

  • Is based in The Netherlands (preferably Utrecht region) and is happy to travel to our HQ in Maarssen 2-3 times per week.

  • Eligible to work in the Netherlands.

  • 3-5 year’s of experience in an HR Operations or HRBP position.

  • Experience in a fast-growing scale-up.

  • Strong communication skills in English, both verbal and written, as this is the main language used by Visualfabriq and our employees. Dutch is a big plus.

  • Being able to handle confidential information with care and discretion.

  • Experience with HRIS and recruitment platforms (We use Recruitee and HiBob).

  • Strong organisational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in MS Office (Word, Excel, Outlook).

  • High level of attention to detail and problem-solving skills.

  • The ability to work independently while collaborating closely with others.

  • An approachable attitude, hands-on, proactive mindset: you’re comfortable rolling up your sleeves and making things happen.

 

Nice to Have Skills or Experience (not essential)

  • Experience using HiBob.

  • Proven Project Management skills and being able to multitask effectively.

  • Knowledge of Employment Law for UK/US/Spain/India.

  • Competitive salary €4,200 – €4,700 monthly (depending on experience).
